Privacy Policy

The documents below were prepared based on standard GDPR and Polish electronic services law requirements for a simple website with a contact form. This site is operated from Poland and governed by Polish law. We recommend a one-time legal review before going live in production, especially if the scope of the business changes.

This privacy policy sets out the rules for processing and protecting personal data submitted by users in connection with the luktrans.pl website (the “Site”).

1. Data controller

2. Scope and purpose of data processing

Through the “Get a Quote” form we collect: full name, company name (optional), email address, phone number, pickup and delivery location, pickup date, cargo type, weight, volume, and any additional information provided by the user. This data is processed solely to prepare a transport offer, respond to the inquiry, and for related business contact.

3. Legal basis for processing

Data is processed pursuant to Article 6(1)(b) GDPR, to take steps prior to entering into a contract at the request of the data subject (preparing a quote), and Article 6(1)(f) GDPR, based on the controller's legitimate interest in conducting business correspondence and responding to inquiries.

4. Data retention period

Personal data submitted via the form is stored for as long as necessary to handle the inquiry and any subsequent cooperation, but no longer than 3 years from the date of last contact, unless a longer retention period is required by applicable law (e.g. tax regulations, in the event a transport contract is concluded).

5. Recipients of data

Personal data may be shared with providers of hosting, email, and IT services acting on the controller's behalf, solely to the extent necessary for the proper functioning of the Site and handling of correspondence. Data is not transferred to third countries or shared with third parties for marketing purposes.

6. Data subject rights

Data subjects have the right to access, rectify, erase, and restrict the processing of their data, the right to data portability, and the right to object to processing. Data subjects also have the right to lodge a complaint with the Polish supervisory authority (President of the Personal Data Protection Office, UODO) if they believe processing violates GDPR.

7. Cookies and similar technologies

The Site uses only one strictly necessary cookie to remember the selected language version (NEXT_LOCALE), and stores the selected light/dark theme in the browser's local storage. The Site does not use analytics, statistical, or marketing cookies, and does not perform user profiling.

8. Data security

The controller applies appropriate technical and organisational measures to protect processed personal data, including an encrypted connection (HTTPS) and safeguards on the contact form against unauthorised access and automated bot submissions.

9. Changes to this privacy policy

The controller reserves the right to amend this privacy policy, in particular in connection with changes to the law or the Site's functionality. The current version of the policy is always available at this address.
